1. About this policy
Avodahtec respects your privacy. This policy explains how we collect, use, disclose and protect personal information when you visit our website, contact us or apply for a role with us. In this policy, “we”, “us” and “our” mean Avodahtec.
Personal information is information about an identifiable individual. Separate contracts, employment notices or project-specific privacy arrangements may also apply to services we provide. This policy does not replace those arrangements or limit rights under applicable privacy law.
2. Information we collect
The information involved depends on how you interact with us:
- Enquiries and business communications: your name, contact details, organization, project interests and the information you choose to include in correspondence.
- Recruitment: your name, email address, telephone number, introduction or biography, CV or résumé, and other information you choose to provide for an application.
- Technical information: hosting, security and embedded-content providers may process information such as your IP address, browser, device details, requested pages and access times to deliver and protect their services.
3. Why we use information
We use personal information for purposes reasonably connected with your interaction with us, including:
- Responding to enquiries, discussing potential work and managing business communications.
- Reviewing job applications, communicating with candidates and administering recruitment.
- Operating and protecting the website, investigating misuse and maintaining necessary business records.
- Meeting applicable legal and professional obligations and establishing, exercising or defending legal rights.
4. Consent and your choices
We seek consent where required and explain relevant purposes when requesting personal information. Providing information for an enquiry or application does not, by itself, give us permission to use it for unrelated marketing.
You may decline to provide optional information or contact us to discuss withdrawing consent, subject to legal or contractual restrictions. We will explain any consequences, such as being unable to assess an application without relevant contact details or qualifications. Simply browsing this website is not consent to every possible use of personal information.
5. Job applications
Apply links for current openings take you to Avodahtec’s application form on cms.avodahtec.com. That form uses HireZoot / WP Job Openings to collect application information and CV uploads. Please review the notice and consent request shown with the application form before submitting.
Provide information relevant to the role. Do not send social insurance numbers, banking details, identity documents or other unnecessary sensitive information through a general enquiry or initial application. A job listing or acknowledgement of an application is not an offer of employment.
6. When information is shared
Personal information may be made available to authorized personnel and service providers who need it for the purposes described here, such as website hosting, email, IT support and recruitment administration. We require appropriate protection when a provider handles information on our behalf.
We may also disclose information where required or permitted by applicable law, including to obtain professional advice, respond to a lawful request, address a security incident or protect legal rights. This policy does not authorize unrelated uses of applicant or enquiry information.
7. Cookies and external content
The current website does not include analytics or advertising trackers added by Avodahtec. Hosting, security services and the separate CMS application form may use cookies or similar technologies needed for their operation.
Some pages contain Google Maps. The homepage can load a YouTube video when you select Play. Loading these services can send information such as your IP address and browser details to their providers, which may use cookies or similar technologies under their own policies. Maps can load when the embedded map comes into view.
You can manage cookies through your browser settings, although restrictions may affect embedded content or application forms. Links to external websites and social networks are governed by those providers’ privacy practices.
8. Where information is processed
Service providers may store or process information in Canada or other countries. Information processed in another country may be subject to that country’s laws and lawful access requirements. Contact us if you need information about the providers or processing arrangements relevant to your enquiry or application.
9. Protection and retention
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. No website, email service or transmission method can guarantee complete security. Please contact us to arrange an appropriate channel before sharing confidential project information or sensitive documents.
We retain personal information only as long as reasonably needed for the purpose for which it was collected and to meet applicable legal, professional and record-keeping obligations. Retention can differ for enquiries, recruitment and client records. Information used to make a decision about an individual is retained as required to allow applicable access rights. When no longer needed, information should be securely deleted or anonymized.
10. Access, correction and privacy concerns
Subject to applicable law, you may request access to personal information we hold about you, ask us to correct inaccuracies, discuss consent or raise a privacy concern. We may need to verify your identity before responding. If an exception or restriction applies, we will explain it as permitted by law.
Please send privacy enquiries to info@avodahtec.com with the subject “Privacy enquiry”. If a concern remains unresolved, you may contact the privacy regulator with jurisdiction over the matter, such as the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.
11. Changes to this policy
We may update this policy when our services, website or privacy practices change. An adopted version will show its effective or updated date. Where a change involves a new purpose that requires consent, posting an updated policy alone will not replace that consent.
